Inviting Collaborators in Velveteen

The short answer

To grant another Velveteen user access to one of your entities, use the Manage Access button on the entity detail page. You can share specific artists, releases, tracks, people records, and publishing houses with viewer, editor, or admin access. The collaborator must already have a Velveteen account tied to that email address.

Velveteen uses entity-level permissions to control access. When you want another user to work on a release, edit a track, or view your artist profile, you add them to that specific entity rather than sharing your login or granting account-wide access.

How to add a collaborator

    Open the entity

    Open the artist, release, track, or other entity you want to share.

    Click Manage Access

    Click the Manage Access button on the entity detail page. There is no separate Permissions tab; access is managed through this button.

    Add the collaborator

    Enter the collaborator's email address and select their role: viewer, editor, or admin. The grant fails with an error if no Velveteen account exists for that email.

    Save

    The permission is created immediately and the collaborator can access the entity right away.

Tip

If you need to share everything under a label with someone, add them as a label member instead of granting access entity by entity. Use entity-level permissions for scoped, one-off access to specific items.

  • Viewer: read-only access to the entity and its metadata.
  • Editor: can modify metadata, upload files, and move the entity through its workflow states.
  • Admin: everything an editor can do, plus the ability to add, change, or remove other users' access to that entity.

Removing access

To remove a collaborator, delete their permissions row for that entity. This takes effect immediately. Any changes they made while they had access are preserved in the entity's history. If you added them as a label member, suspend or remove their label_members entry instead.

Heads up

Removing access does not undo any changes the collaborator made. Review their recent edits before removing access if you are concerned about unauthorized changes.

Frequently asked questions

Does the collaborator need a Velveteen account?+

Yes. The grant looks up the email in the profiles table immediately. If no account exists for that email, the request returns an error and no permission is created. The collaborator must sign up for Velveteen first.

Can I grant label-wide access instead of entity by entity?+

Yes. Add the user as a label member instead. Label members get access to all entities under that label based on their role, without per-entity grants.

How do I remove a collaborator's access?+

Remove their permissions row for that entity. For label members, remove or suspend their label_members entry. Removing access does not delete any work they contributed while they had access.

Can a collaborator add other collaborators?+

Only if they have admin-level permissions on that entity. Viewers and editors cannot manage access for other users on entities they do not own.

Can I see who has access to my entities?+

Yes. Open the entity detail page and click Manage Access. The dialog lists all users who have a permissions row for that entity and shows their current role.
