Vinyl Pressing Quantities and Break-Even
Choose a vinyl pressing quantity from defensible paid demand, conservative channel forecasts, available cash, storage, and the downside of unsold stock. Calculate landed cost per received unit, contribution per sold unit, break-even units, and cash-recovery units from a complete quote. A larger run can lower unit cost while increasing total cash exposure, inventory risk, and fulfillment work.

Separate revenue, margin, cash timing, and ownership before calling something profitable.
Watch for
Top-line income can hide a model that does not leave enough money or time for the artist.

Which evidence should set the pressing quantity?
Velveteen evidence-to-quantity gate
Six inputs before the purchase order
Paid
Paid pre-orders or deposits tied to the exact edition, price, timing, and destination.
Supplies the strongest direct-demand input without pretending delivery risk disappeared.
History
Prior format sales by channel and elapsed time, net of refunds and replacements.
Replaces lifetime gross anecdotes with comparable sell-through evidence.
Trade
Named retailer, distributor, label, or partner commitments with discount and return terms.
Prevents soft interest from entering the forecast as a firm order.
Direct
Conservative Bandcamp, store, email-buyer, and show forecasts without double counting.
Keeps the same buyer from appearing in multiple channel totals.
Capacity
Cash timing, storage, kitting, fulfillment throughput, and replacement reserve.
Tests whether the team can operate the quantity even if it can buy it.
Downside
Unsold units and cash remaining after the conservative case, with a written no-go threshold.
Makes the survival decision before the lower unit price becomes persuasive.
How does a constructed 300-unit run reach break-even?
| Amount | Control | |
|---|---|---|
| Net after percentage fees | $25.50 | $30 minus constructed 10% platform and 5% processing |
| Landed inventory | -$14.50 | Invoice, inbound costs, and preparation divided by usable units |
| Order costs | -$5.25 | $1.25 materials, $2 subsidy, and $2 pick/pack |
| Contribution | $5.75 | Amount available for other fixed launch costs in a fully loaded model |
| Break-even warning | 157 sales | $900 divided by $5.75; use this fully loaded result, not the headline stat |
Keep cash recovery separate from profit break-even
The run also requires $4,350 of landed inventory cash before sales. Track when cumulative net cash receipts recover that outlay, while the fully loaded $5.75 contribution answers how many sales cover the additional $900 fixed launch cost.

Frequently asked questions
How many vinyl records should an independent artist press?+
There is no universal quantity. Start with paid pre-orders, prior physical sales, firm retailer or distributor commitments, show velocity, direct buyer evidence, available cash, and storage. Model conservative, base, and strong sales cases, then choose the smallest run that satisfies the offer and remains survivable if the conservative case happens.
How do you calculate vinyl break-even units?+
Divide fixed launch costs by contribution per sold unit and round up. Contribution is net item revenue after percentage fees, landed inventory cost, pick and pack, packing materials, and any postage subsidy or per-order cost. Keep this calculation separate from the units needed to recover the initial manufacturing cash outlay.
What is landed cost per vinyl record?+
Add the manufacturing invoice, inbound freight, tax or duties, audio/cutting and other preparation, plus packaging received separately, then divide by usable units received. Quarantine defective stock and update the denominator. Do not use only the plant's quoted pressing price or ignore costs paid outside the manufacturer invoice.
Do pre-orders reduce vinyl pressing risk?+
Paid pre-orders can provide stronger demand evidence and fund part of production, but they also create delivery, communication, refund, and timing obligations. Cap sales against planned usable inventory, reserve replacements, disclose realistic shipping timing, preserve contingency cash, and avoid committing to a pressing solely because a non-binding interest poll looked strong.
Is a cheaper vinyl unit price always better?+
No. A larger run may reduce quoted unit price while raising the total invoice, freight, storage, packing volume, unsold stock, and cash-recovery requirement. Compare total landed cash and contribution under the same conservative sold-unit forecast. The economically better quantity is not necessarily the quote with the lowest per-unit factory line.
